If you’ve tried using AI in your business and felt like the results were a bit underwhelming, I’m willing to bet I know what happened.
You opened up a chat window and expected one AI assistant to run your entire life.
It wrote an email, summarized a meeting, analyzed a spreadsheet, and drafted a strategy doc. And if we’re being honest, the output probably felt a bit generic. Flat. Shallow.
Most people assume this is a "prompting problem", that they just haven't learned the secret magic words yet.
It’s not. It’s a design problem.
Think about it this way: if you hired a single human being and asked them to be your head of sales, executive assistant, chief accountant, and senior researcher all at the same time, they’d burn out and do a mediocre job at everything. AI works the exact same way. One tool trying to do four completely different jobs will do all four badly.
I don’t run my business on one AI assistant. I run it on a small team of them, where every single one has one job and one job only:
- One handles my calendar and prepares me for upcoming meetings.
- One triages my inbox so I’m not drowning in email.
- One keeps tabs on the financials and key numbers.
- One does the deep-dive research.
None of them try to do it all. And because their focus is tight, they actually deliver results that save me real time.
If your business is struggling to get actual, tangible value out of AI, here is the simple framework to fix it:
1. Give each system one job, not five. Specialization beats general knowledge every single time. Narrow the scope until the AI can’t get confused.
2. Let them hand off to each other. Don’t try to build one massive super-tool. Build small, simple assistants that pass the baton when their part of the work is done.
3. Add a new assistant only when a real bottleneck demands it. Don't add AI tools just because they're trending on LinkedIn. Wait until a specific, painful job needs fixing, then build a solution for that exact task.
The value was never in "having AI." The value is in having the right assistant doing the right job, and nothing else.
Have a great week
