Why? - Two reasons
First, according to McKinsey, knowledge workers spend roughly 28% of their workweek managing email, losing 2.6 hours every day just staying afloat.
That's $55,086 per person, every year. $22k in time wasted and $32k in missed revenue form the freed hours.

Treating your inbox like a to-do list is the second productivity killer.
Every unread message forces micro-decisions before you’ve even finished reading: Is this a client? Is it urgent? Does this actually require my time?
Because no one documents these decision rules anywhere, your brain makes them from scratch every single time an email lands.
You can’t solve that by typing faster. It’s a decision-fatigue problem, and it requires a automated system, not extra hours at your keyboard.
That’s why I built the Email Intelligence Agent, to triage, surface what actually matters to you, and draft responses. You are the one sending them.
If you want AI to make those decisions before the inbox is even opened, follow this process:
1. Decide your categories. Not a universal list, the ones that actually run your business: clients, pipeline, suppliers, internal, newsletters. Everything else sits in one holding folder until it's labelled, nothing gets lost.
2. Define what's urgent. Urgency gets scored, not guessed: who's asking, whether money or risk is involved, whether there's a hard deadline, whether the tone has turned frustrated. Two worked examples, one urgent and one not, teach it the difference.
3. Teach it your voice. A short sample of how you write to each audience, given once. It copies the tone, not the words, so replies still sound like you.
4. Set the rhythm. Mine runs three fixed sweeps a day, not live on every ping. Batching keeps you in control, and it costs less to run than constant checking ever did.
5. Keep it honest. Nothing sends without you. The first fortnight, it drafts and you send everything. From there it earns more only as it proves itself, and anything it isn't confident about waits in one folder for you rather than guessing.
The inbox stops being forty unsorted decisions a day and starts being the handful that actually needed a person.
**Action points.**
- Multiply your staff count by their average daily email hours.
- Measure the hidden payroll drain vs. lost billable output.
- Stop using your inbox as a task manager, and deploy a system that decides for you.
Enjoy your free time again.
Have a great week
